Plumbing calls come in at the worst hour. Here’s what gets said.

What actually gets sent

The thread it actually sends.

No voice bot, nobody pretending to be a person on the line. When a call gets missed, your shop number texts back and asks the two or three things a plumbing job really turns on, then hands you the answers.

Missed call · text-back intake Sample
  1. Thanks for the message. This is the assistant, answering in writing. What’s going on?

  2. Water’s coming out from under the kitchen sink.

  3. Is water still running? Can you get to the shutoff? Send me a photo of the valve.

  4. Shut it off. Photo sent, it is the valve behind the trap.

Sample thread. The wording, the questions it asks and the things it will never say are all set with you on the setup call.

Hard rules

What the AI front desk will and will not do.

Three lines it never crosses on a plumbing call. The rest is answered below.

  1. Rule 01

Never quotes a price you didn’t set

  2. Rule 02

Never claims licences or insurance for you

  3. Rule 03

Floods and no-water calls jump the queue

What the AI is allowed to say about plumbing.

01Can the AI handle plumbing seasonality without overpromising during busy periods?
Yes. I set seasonal rules with you on your setup call. During freeze-ups, sump season, or a wet week, the texts can say urgent calls come first, then collect the address, the problem, photos if they have them, and a time window that works. What it never does is promise a truck at 2pm. Availability comes from you, not from the AI, so nothing gets promised that you have to walk back.
02How should the AI answer pricing questions for drain cleaning, leaks, or water heater calls?
It explains how you price without inventing a number. A slow drain can be a trap issue, roots in the main line, or a collapsed pipe, and nobody can price that blind. So it says that, in your words, collects the details and photos, and tells the customer you confirm the real number after you have seen the job. If you want a flat service-call fee quoted, you set the amount and that exact amount is all it ever says.
03Can the AI talk about plumbing licences, insurance, WSIB, ESA, or COI requests?
Only what you have told me is true. On the setup call we write down exactly what you hold, and the AI never goes past that list. When a property manager or condo board asks for WSIB clearance or a COI, it collects the request and routes it straight to your phone instead of guessing. Guessing on compliance is how you lose a commercial account, so it does not guess.
04What plumbing questions should the AI avoid answering as a firm promise?
Anything it cannot see. It will not promise a pipe can be fixed without opening the wall, that a drain will clear without a camera, that insurance covers the flood, or that a water heater is still under warranty. It also never walks a customer through a repair that could flood their basement. It gathers facts, sets honest expectations, and gets you the lead. You stay the plumber.
05Can the AI help decide whether a plumbing lead needs a quote or a site visit?
Yes, using rules you give me. Swapping a customer-supplied faucet with normal access can go through as a standard booking request. A hidden leak, low pressure, sewer smell, basement backup, repipe, or sump system gets routed to a site visit. It asks whether the issue is active, how long it has been going on, which fixtures are affected, and whether they can send photos, so when you call back you already know what kind of job it is.
06How can the AI help with scheduling without messing up my plumbing calendar?
It is an intake layer, not a dispatcher. It collects the job, the urgency, the address, access notes, tenant or landlord contact, shutoff status, and preferred time windows, then flags active leaks, sewage backups, and no-water calls so they hit your phone first. If you want it proposing time slots, it follows buffer rules you set. It never books over you and it never touches your money.
07Can the AI handle emergency plumbing calls after hours?
Yes, honestly. A missed call at 11pm gets a text back in under a minute. It asks the questions that matter: flooding, sewage, no water, burst pipe, dead sump. It can remind the customer where a main shutoff usually is if it is safe, but it never talks anyone through a repair. If you do not run 24/7, it says so plainly and lines the job up for the morning instead of losing it to the next name on Google.
08How should the AI handle customers asking if a plumbing job is covered by warranty or insurance?
It collects facts and stays neutral. For warranty: brand, model, install date, the invoice if they have it, a photo of the label. For water damage: what happened, when it started, clean water or sewage, whether they have called their insurer. Then it says the honest thing, that coverage depends on the policy and the assessment, and hands you a lead with the whole story attached instead of a promise you have to walk back.
09Can the AI ask plumbing customers for photos and videos before booking?
Yes, and it should. Leaks, shutoff valves, water heaters, sump pits, under-sink messes: a few photos from different angles plus a close-up of the label saves you a blind quote and a wasted trip. It asks for them right in the text thread, and it still tells the customer that photos do not replace eyes on the job when the problem is hidden or code-sensitive.
10What makes this different from a generic chatbot for a plumbing company?
A generic chatbot knows words. This gets set up on your shop. It knows a dripping faucet from an active leak from a sewer backup, when to push for photos, when to flag an emergency, when to stay quiet about price, and when a WSIB or COI question needs to go to you. And it is not software you configure alone at midnight: I set it up with you, and when something changes you text me. Websites are the product: $800 to build the presence site, $2,000 for the working site, $2,500 for the showcase, then a care plan from $70 a month that covers hosting, security and the changes you ask for. The rest is on the pricing page.
