What actually gets sent

The thread it actually sends.

No voice bot, nobody pretending to be a person on the line. When a call gets missed, your shop number texts back and asks the two or three things a roofing job really turns on, then hands you the answers.

Missed call · text-back intake Sample
  1. Thanks for the message. This is the assistant, answering in writing. What’s going on?

  2. There’s water coming through the bedroom ceiling.

  3. Is it actively leaking right now, or a stain on the ceiling? How old is the roof?

  4. Dripping right now. Roof is original to the house.

Hard rules

What the AI front desk will and will not do.

Three lines it never crosses on a roofing call. The rest is answered below.

  1. Rule 01

Never quotes a tear-off without an inspection

  2. Rule 02

Never claims WSIB or COI limits for you

  3. Rule 03

    Active leaks jump the queue

What the AI is allowed to say about roofing.

01Will the AI quote a full tear-off over text?
No, roofs need eyes on them before a number means anything. When someone asks how much for a new roof, the AI can share a typical range for your area if you want it to, then books a free inspection. For something small, one blown-off shingle, a vent boot, it can quote a starting price you’ve pre-approved. Anyone pushing for a firm number on a full replacement gets the honest answer: that needs measurements and a look at the decking first.
02We’re slammed April through November and dead in winter. Does the AI handle that swing?
That’s exactly where it earns its keep. In peak season it triages fast, screens out the tire-kickers, and books inspections so a lead doesn’t sit on voicemail at 9pm. In winter it captures every “put me on the spring list” request and drops them into a follow-up so they get contacted in February or March instead of forgotten. You set the booking horizon, “not taking new replacements until April,” and it respects it exactly.
03We carry WSIB and a real COI. Will the AI say that correctly?
Only the facts you give it, stated exactly as written. Upload your WSIB clearance number, COI limit, and licence info once, and the AI shares those when a homeowner or property manager asks. It won’t invent a coverage amount or claim a certification you don’t have. If someone needs a certificate naming them as additional insured, that goes to you and your broker, not the AI.
04How does it handle a storm call with an active leak at midnight?
On the rule you set, and only that rule. A common setup is storm plus active leak plus inside your radius means it pages you directly, right now, while anything non-urgent, a few missing shingles, a slow drip you can wait on, books into your regular schedule. The AI reads for urgency words like leak, water coming in, tarp, and treats them differently than “my eavestrough looks weird.” You stop losing sleep over the wrong calls and stop missing the real ones.
05Insurance claim jobs run different from a normal quote. Does the AI know that?
Yes, it routes them separately the moment it hears “insurance claim,” “hail damage,” or “adjuster.” It collects the carrier name, claim number if they have one, date of loss, and whether an adjuster’s already been out, then books an assessment instead of trying to quote a number. It won’t tell a homeowner their claim is approved or guess their deductible, that conversation is yours. You walk into the appointment already knowing the basics.
06Can it tell a homeowner call from a commercial flat-roof inquiry?
Yes, by what it asks up front, roof type, shingle, metal, flat membrane, and property type. Commercial inquiries route to whoever handles that side of your business with square footage and access details attached. Residential goes straight to inspection booking. If you don’t take commercial work at all, tell me once and the AI refers those out politely instead of booking a lead you were never going to close.
07Homeowners always ask how long their roof has left. Will the AI guess?
No, because it can’t see the roof and shouldn’t pretend to. It gives the honest general answer, asphalt shingles in Ontario typically run 18 to 25 years depending on ventilation and install quality, then offers a free inspection for anything specific to their house. Same with “can I patch it or do I need to replace it,” that’s an inspection question, not a chat answer. Keeps you out of a guess you’d have to walk back on the roof.
08We already run a dispatch board and a separate quoting tool. Does this replace them?
No, it feeds them. The AI captures the lead, screens it, and either drops the appointment straight into your calendar or texts you a clean summary to schedule by hand. It’s not trying to be your CRM or your quoting software, think of it as the front door answering 24/7 so nothing sits unanswered overnight.
09A customer asks about a specific shingle brand or warranty we’re certified for. Does the AI know that?
Only what you’ve told me. Give me the list, IKO, GAF, Owens Corning, whatever you carry, along with your certification level and the actual warranty terms, and the AI quotes it back accurately. If someone asks about a brand you don’t install, it says so honestly and offers your closest equivalent instead of pretending you’re certified for something you’re not.
10How fast can this actually be live before our busy season hits, and what does it cost?
About a week from the day you say go. Setup covers your intake questions, service area, starting prices for small repairs, escalation rules for storm calls, your insurance and licence info, and your calendar. One 30-minute call maps it out, then it’s live. Websites are the product: $800 to build the presence site, $2,000 for the working site, $2,500 for the showcase, then a care plan from $70 a month that covers hosting, security and the changes you ask for. The rest is on the pricing page.
